Privacy policy
What data docs9 collects, who it is shared with, how to request deletion, and your GDPR rights as an EU or EEA client.
What we collect and why
When you submit an order through docs9, you share the documents and details needed to prepare, translate, apostille and deliver your paperwork. As a rule, this includes your name, contact details, document scans, and delivery address. We use this information for one purpose only: completing your order and keeping you updated on its status.
We do not sell your data, and we do not use it for advertising profiles.
Who sees your data
Your documents travel through a small, defined circle of parties. Data are shared only with the translators, apostille agents and couriers needed for your order — nothing beyond that.
| Recipient | Why they need it |
|---|---|
| Translators | To produce certified translations of your documents |
| Apostille agents | To legalise documents with the issuing authority |
| Couriers | To deliver originals or copies to you |
Each of these parties receives only the minimum needed to do their part. Public authorities see your documents because the procedure itself requires it — for example, an apostille office verifying the original seal.
Your rights under GDPR
If you are located in the EU or EEA, the General Data Protection Regulation applies to you. In practice this means you can ask what data we hold about you, request a copy, ask for corrections, and object to processing that is not necessary for your order.
You can read the regulation itself on EUR-Lex.
Deleting your data
Deletion is available on request by email. Write to us and ask us to remove your personal data, and we will process the request. Keep in mind two typical limits: we may retain records we are legally required to keep, and data already submitted to a government authority as part of your order sits outside our systems.
A note on sensitive documents
Birth certificates, marriage certificates, criminal record certificates and similar papers are personal by nature. We handle them as working documents for your order, not as assets to reuse. Once your case is closed, there is no reason for us to keep working copies unless you ask us to.
Questions
If anything about this policy is unclear, or you want to confirm how a specific document in your case will be handled, ask your case manager before you send the originals. It is usually easier to agree on handling up front than to request changes mid-order.
